Seishinkan Aikido Kuching operates this dojo portal for membership administration. This policy explains how we handle personal information submitted through aikidokuching.com and dojo.aikidokuching.com.

Information we collect

Member applications may include your name, sign-in email, phone or WhatsApp number, and optional emergency-contact details or notes. Instructors record membership status, grade history, attendance, fee status, due dates, and payment records. Sign-in providers such as Cloudflare Access, Google, or Facebook provide the verified email address used to identify your portal account. We do not receive your social-media password, post to your account, or store card or bank-account details in the portal.

How we use it

We use this information only to review applications, provide account access, manage training and grading progress, record attendance and fees, contact members about dojo administration, and protect the portal from misuse.

Who can access it

Authorised Seishinkan instructors can access dojo records. Cloudflare provides authentication, hosting, and database services, and Resend delivers transactional email. These providers process information only to provide those services. We do not sell personal information or use it for advertising.

Retention and security

Rejected applications are deleted. Other records are kept while needed for membership, dojo administration, accounting, security, or legal obligations. We limit access to authorised instructors and use encrypted HTTPS connections and authenticated private portal routes.

Your choices

You may ask to view, correct, or delete your information. See the data deletion instructions or email reubster@protonmail.com. We may need to confirm your identity before acting on a request.

Updates

We may update this policy when the portal or legal requirements change. The effective date above identifies the current version.
